Finance Coordinator
POSITION PURPOSE
- Coordinate accounting workflow, including accounts payable, accounts receivable, and budget reconciliation.
- Manage several administrative duties of the firm, including ranch insurance policies, coordinating with external service providers, and grant tracking.

JOB-RELATED AND ESSENTIAL QUALIFICATIONS
Overview:
TomKat Ranch Educational Foundation is a mission-based 501(c)(3) organization based at TomKat Ranch in Pescadero, California. We are looking for an experienced finance specialist to manage our accounting functions. The ideal candidate will be experienced in handling a wide range of accounting, administrative, and project management-related tasks and will be able to work independently with little or no supervision. This person must be exceedingly organized, flexible, and proactive, and enjoy the administrative challenges of supporting an office of diverse people and programs in a venue of exceptional beauty.
Duties described below are examples and not meant to be an exhaustive or all-inclusive list:
- Serve as the main liaison with the outside accounting firms, encompassing a wide variety of responsibilities, including managing and monitoring several bank accounts as well as an annual audit.
- Coordinate accounting workflow, including accounts payable, accounts receivable, and budget reconciliation.
- Support month-end and year-end close processes.
- Prepare monthly reconciliations for bank, credit card, and accounts.
- Coordinate relationships with vendors, contractors, and service providers regarding Certificates of Insurance, W-9s, and invoices for payment.
- Manage all firm insurance policies (facilities, auto, non-profit, horse, bull, and events) to ensure the ranch is complying with all State and Federal regulations.
- Track and allocate restricted grants, grant partnerships, and sponsorships, and handle associated reporting.
- Work closely with staff to develop annual budgets in a timely and cohesive manner.
- Manage the storage and disposal of financial records in accordance with IRS guidelines and GAAP principles.
- Serve as the payroll backup to Human Resources.

Basic Skills:
- 3+ years of experience in accounts payable, accounts receivable, and account reconciliation
- Proficiency in accounting software systems (QuickBooks or similar)
- Strong Excel skills and general computer proficiency
- Excellent written and verbal communication skills
- Strong mathematical and analytical abilities
- Ability to maintain confidentiality and handle sensitive information
Preferred Skills:
- 5+ years of full-cycle accounting experience
- General ledger and reconciliation experience
- QuickBooks Online preferred
- Bookkeeping certification, Accounting degree, CPA, or similar
- Payroll experience
- Spanish fluency strongly desired
- Experience in agricultural or nonprofit work environments

DETAILS OF EMPLOYMENT
- Pay range is $80,000 to $110,000 per year, commensurate with experience and education
- Full-time hours
- Mostly remote schedule, with bi-weekly visits to HQ in Pescadero, CA
- Reports to the Operations Manager or Director
- Must be legally authorized to work in the U.S.
